When the City of Stockholm and Region Stockholm hosted Yrkes-SM 2026 (the Swedish Vocational Championships), the goal was to create an inspiring and well-functioning event for tens of thousands of young visitors over three intensive days. Succeeding with this, however, required a massive logistical effort.
For Invajo, the assignment began with a clear need for a smooth and structured entry management system, but quickly grew to encompass large parts of the event's administration and logistics. In addition to registration and the distribution of entrance tickets, we were also trusted to handle communication with exhibitors and competitors, as well as support the planning of visitor flows and time slots.
By gathering and structuring all information on a single platform, we were able to give both the organizers and the on-site staff the best possible conditions. It was simply about much more than just scanning tickets at the door—it was about creating a safe, calm, and smooth end-to-end experience.
We asked Susanne Ringblom, Project Manager at Onemotion IMC, and Invajo's own Project Manager Nellie to share their experiences from the record-breaking event.
(Note: The following interviews were originally conducted in Swedish and have been translated).
Q&A: Susanne Ringblom
Project Manager Onemotion IMC (representing the City of Stockholm and Region Stockholm for Yrkes-SM 2026)
How would you describe this year's Yrkes-SM and the result you managed to create together?"A truly successful event that broke the previous records for Yrkes-SM. We are incredibly happy with the result, and above all, with all the fantastic children and young adults who came to visit us. They got the opportunity to discover the exciting vocational educations available and also try out many different professions. It feels amazing to have been a part of that!"
How did the digital management impact the planning, communication with schools, and the execution of the event?"Given how many people we invited, the digital management was a crucial part of the project. We were able to easily reach several thousand registered attendees with regular updates, right up until the event started. With the help of customized templates for our specific project, we could streamline the communication process and quickly send out relevant information, even on short notice."
Do you feel that you had better control over the event this year compared to previous years?"Yes, especially when it comes to the entry flow on site. Invajo's system for booking and on-site entry worked incredibly well. Everything flowed smoothly and the queues were kept short throughout the entire event. Being able to access such detailed statistics on both registered and checked-in visitors was a huge help, giving us a level of control and overview that we haven't had before."
What has been the greatest reassurance in having Invajo as the system and project manager for such a large project?"Knowing that the system could handle such a massive and complex project with nearly 40,000 registered attendees was a reassurance in itself. Beyond that, we’ve received fast and personal support throughout the entire project. That has been incredibly valuable and made us feel like we always had someone to turn to when needed."
How did you experience the communication and problem-solving during the project?"Very good! You have always been helpful, solution-oriented, and quick to respond throughout the project. That made the collaboration very easy and safe."
How did you experience the support from us during intensive periods and during the event itself?"Excellent! We’ve had a close and positive dialogue with your project manager throughout the project, with regular check-ins. During the actual event, we also had tight communication with multiple syncs per day, which felt very reassuring when the pace was at its highest."
How would you describe the feeling once the event was underway and everything was working on site?"It’s a fantastic feeling when the event finally kicks off and you notice that everything is running as it should! We had no issues with Invajo's entry system, and despite the large crowd of visitors, everything worked very smoothly. It felt incredibly reassuring knowing that part of the visitor flow worked so well and was handled professionally from start to finish."
If you were to summarize the collaboration with Invajo and this year's Yrkes-SM in a few sentences, what would you say?"Invajo has been a fantastic partner during this year's Yrkes-SM 2026. Your system has been able to handle all the requirements and requests we’ve had—from registration management and communication to entry on site during the event. We are very grateful for the help and support we’ve received throughout the project. The collaboration has worked incredibly well and we highly recommend Invajo!"

Reflections from the Invajo Project Manager for Yrkes-SM
"Yrkes-SM 2026 has been my largest project to date as lead project manager, and it's an experience I will take a lot away from. Being part of an event that gathers over 31,000 visitors across three days has been challenging, educational, and incredibly fun.
Leading up to an event of this scale requires a lot of planning, clear structure, and a team working together towards the same goal. We spent a lot of time preparing the flows, entry management, and information, but also making sure the on-site staff had the right tools and conditions to welcome all the visitors.
My biggest takeaway is the importance of combining a stable system with personal project management and close teamwork with the client. All the pieces need to work together, and sometimes it's just as much about solving things in the moment, supporting the team, and staying calm, as it is about the actual planning.
Standing there on site and seeing all the visitors, competitors, exhibitors, and staff come together with so much energy made it all extra rewarding. All the laughs, smiles, and positive encounters during those days were a wonderful testament to the hard work everyone put in.
I am very proud of what we achieved together and grateful for the trust. This project has given me new experiences, strengthened my confidence in running large-scale events, and inspired me to keep growing as a project manager."
Nellie Johansson, Project Manager at Invajo
